Product import using Google sheets or .xlsx file

Varlė Marketplace products can be imported and updated using Google sheets or an .xlsx file. Sheets or .xlsx are used depending on the situation:

➡️ seller wants to fill in product information manually, does not have a hosting server - the best option is a Google sheets file. 

➡️seller does not have the possibility to create an XML file, but can automate the updating of information in the .xlsx file, then we recommend choosing this method.

In either case, the file must conform to the required structure.

When you want to fill out a Google sheets document:

  1. We create a dedicated google sheets file for you and send you a link.
  2. You fill in this file, make corrections, and the VARLE system will read the information at the appropriate time of import.
  3. In the file you will already find a prepared table. The structure of the table cannot change.
  4. After adjusting the product quantity to 0, the product will become invisible and not for sale on the website.

When you want to fill in the .xlsx file and submit the document from the server:

  1. Copy the table structure and create a new .xlsx document.
  2. Fill in the table. The structure of the table cannot change.
  3. Make sure the document is available and create a link (URL) to it. The VARLE system will read the information at the appropriate import time.
  4. After adjusting the product quantity to 0, the product will become invisible and not for sale on the website.

Sheets/.xlsx file structure and instructions

We always recommend providing as much information as possible about the products you have. In this way, products will be easier to organize in our system (categories, filters), will look more attractive to customers and will be easier to find on the varle.lt page.

Columns are divided into three necessity groups:

  1. Required columns 🔴
  2. Recommended columns ⭕
  3. Optional columns ⚫
Column name Information and instructions
🔴 Required columns
 Product Id 
  • Unique product ID in your system (SKU).
  • Any code can be made up, but should not be repeated in the product list.
Title
  • Product title.
  • It is useful to give the name as understandable as possible to the customer: add weight, model, color, etc.
Description (HTML allowed)
  • HTML format is recommended.
  • If the description is not long and simple, you can not use HTML format. If the description is long, in many different formats, it needs to be converted to HTML coding. This way, it will be displayed exactly the same on the product card. An online tool is available: https://html-online.com/editor/. Paste the text on the left side, copy the received code on the right side into this box.
Barcode
  • Correct product barcode (EAN13). Only EAN format is suitable. Barcodes generated or invented by other stores are not suitable.
Quantity
  • Product quantity available. The quantity must be specified as a whole number.
Delivery term (working days)
  • Format: 1-2 d.d.
  • Delivery times must be specified on business days.
Retail price (Eur)
  • The final price for the customer includes VAT.
  • The price must be separated by a period, not a comma.
Category name
  • Our product category where your product should be. Use our page to find categories at varle.lt. You can use VARLE's internal search or view the category tree: https://www.varle.lt/svetaines-medis/
Category name
  • Main product photo. (only one link)
  • The product photo link is loaded from your server. If you don't have a server, you can host online and generate a link. For example: https://postimages.org/
  • The link must be direct. I.e. the final link path must end with a picture. Available formats: .png, .jpg. Pvz.:www.parduotuve.lt/nuotraukos/dzemperiai/raudonas_nike.jpg 
⭕ Recommended columns 
Additional images
  • Additional product photos.
  • ⚠️ Links must be separated by a vertical bar - " | " and on one line. No other punctuation characters are allowed.

Model
  • Product model or serial number. (If not available or unknown, leave blank)
Manufacturer
  • Product manufacturer. (If not available or unknown, leave blank)
Weight (kg)
  • The weight must be separated by a period, not a comma. It is also indicated only in kilograms.
Attributes
  • Additional product information that will appear below the product description as a table. This will allow the customer to once again pay attention to the most important features of the product.
  • ⚠️The submission format must be maintained. I.e. Parameter name : (colon) Parameter value. Individual parameters are also separated by a vertical dash - "|".

Options
  • Different versions of the same product. For example, it can be: color, size, capacity, power, brightness, etc. The customer will be able to choose these options when adding the product to the cart.
  • ⚠️The submission format must be maintained. I.e. Option name : (colon) Option value. Separate selections are also separated by a vertical bar - "|".

Old retail price (Eur)
  • Old product price for the customer including VAT.
  • ⚠️The price must be separated by a period, not a comma.

  • Product warranty in months. (If not available or unknown, leave blank)
